Clear information for schools

Your profiles.
Your browser.

Understand where information is stored before adding a pupil’s words or pictures.

Information inside the tools

Profiles, personalised words, photos, timetables, personalised stories, step-by-step routines, completion progress and settings are stored in the browser on the device being used. The app does not upload those pupil records to a Day by Day Tools database. There are no pupil accounts or automatic profile syncing.

Feelings and support selections are used for the current conversation. The app does not keep an emotion history.

School devices and backup files

Use initials or a nickname and add only information needed for support. Follow your school’s procedures for device access, photos, storage, retention and deleting information.

Exported JSON backups contain the profiles and photos included in the export. They are not encrypted by the app. Keep them in school-approved storage with access limited to appropriate staff.

An adult PIN protects editing within the app; it does not encrypt browser storage or exported files.

Deleting information

Adults can edit or delete profiles, stories and personal tiles in the app. Copies already exported are separate files and must be managed separately. Clearing site data removes locally stored profiles and may remove offline access too. Save anything you need before doing so.

Speech

The app uses your browser or operating system’s speech service. Some voices work locally and others may use an online service provided by the device or browser supplier. Check the device’s voice settings and school requirements before speaking sensitive information.

Website visits

The website is hosted with Krystal. Like other websites, requests involve technical information such as an IP address and browser details; the hosting service may maintain access and security logs. If you choose Allow analytics, this website loads Google Analytics to measure page visits and use of the website. Google Analytics uses cookies and processes technical information about your browser and device. We do not add pupil profiles, photos or communication content to analytics events. Use Analytics settings in the footer to change your choice. Rejecting analytics disables further collection on the page; it does not remove information already collected. You can manage existing cookies through browser settings.

The tools use browser storage for their functionality and may cache the app for offline access. These are separate from exported backup files.

Emails and school enquiries

Corban Psychology Ltd receives the information you choose to include in an email enquiry, such as your name, school and contact details, to respond and discuss the service. The enquiry form prepares an email in your email app; it does not submit the form to a pupil database.

Please do not send pupil records, photos or backup files. For questions about information held by Corban Psychology or to request access, correction or deletion, contact ian@corbanpsychology.com.

Why we use enquiry information

We use business contact details to answer enquiries and provide support, relying on our legitimate interest in running the service. Where relevant, information is also used to take steps towards a contract or meet record-keeping obligations. Providing enquiry information is optional, but we need a way to reply.

Retention and service providers

We keep correspondence for as long as needed to answer the enquiry, provide related support and meet any applicable business record-keeping requirements. Hosting and email providers may process technical or correspondence information to deliver those services. Contact us for details of the provider arrangements relevant to your enquiry.

Your choices and rights

Depending on the circumstances, you can ask for access, correction, deletion, restriction or portability of personal information. You can also object to processing based on legitimate interests. Contact Ian using the address above to make a request.

If you have concerns about how personal information is handled, contact us first or raise a complaint with the Information Commissioner’s Office.
